Automatic Shift Reminders

While WhenToHelp does not offer an automatic shift/schedule reminder feature, coordinators are able to manually send “schedule reminders” to any helper by going to HELPERS > List Helpers and checking off the helpers you’d like to remind (or using the ‘select all’ box at the top of the column)  and then clicking the “Schedule Reminder” link centered above that list.

Schedule reminders will be immediately emailed to the selected helpers who also have shifts assigned during the date range that you specify, and who have set up notifications with a valid email address.

Or as an alternative, if you navigate to SCHEDULES > Grid View, you can isolate the shifts you need with the filters and by sorting by column. Check off some or all of the shifts and click “Send Reminder” or “Message” and you’ll be able to send a message to all of the helpers working those shifts. 

(Sending a schedule reminder will include a list of shifts, and Messages will not.)

Please note that if helpers are exporting their schedules from W2H to Google Calendars, Google does offer an automated reminder system where they can schedule automatic shift reminders via email or text.  More information on how helpers can export their schedules to Google Calendar:
