{"id":986,"date":"2018-05-04T20:21:19","date_gmt":"2018-05-04T20:21:19","guid":{"rendered":"https:\/\/when2work.com\/help\/mgr\/?page_id=986"},"modified":"2023-06-17T17:21:31","modified_gmt":"2023-06-17T17:21:31","slug":"automatic-shift-reminders","status":"publish","type":"page","link":"https:\/\/when2work.com\/help\/mgr\/automatic-shift-reminders\/","title":{"rendered":"Automatic Shift Reminders &#8211; Pro Plan"},"content":{"rendered":"<h2><a href=\"https:\/\/when2work.com\/help\/mgr\/wp-content\/uploads\/sites\/2\/2023\/04\/w2wpro.png\"><img class=\" wp-image-9234 alignright\" src=\"https:\/\/when2work.com\/help\/mgr\/wp-content\/uploads\/sites\/2\/2023\/04\/w2wpro.png\" alt=\"\" width=\"167\" height=\"175\" \/><\/a><\/h2>\n<p>Pro Plan users can set up the automatic shift reminder feature for each employee (or employees can set them up themselves).<\/p>\n<p>These reminders can be sent 24 hours and 1 hour before the shift start time and can be sent tot the employee via email, text, in-app push or Alexa.<\/p>\n<p>The auto reminders can be set up by a manager or the employee on the employee notifications page.<\/p>\n<h3>To Set Up Auto Shift Reminders from the Employee List page<\/h3>\n<ul>\n<li><strong>Click the email cell<\/strong> to open that employee&#8217;s notifications<\/li>\n<li>Click the <strong>Add\/Edit Notifications<\/strong> for the the email or text address and then check off the Automatic Reminders you would like<\/li>\n<li>Click the <strong>Save<\/strong> button<\/li>\n<\/ul>\n<p><a href=\"https:\/\/when2work.com\/help\/mgr\/wp-content\/uploads\/sites\/2\/2023\/06\/ss-setupshiftreminders.png\"><img class=\"aligncenter size-full wp-image-9444\" src=\"https:\/\/when2work.com\/help\/mgr\/wp-content\/uploads\/sites\/2\/2023\/06\/ss-setupshiftreminders.png\" alt=\"\" width=\"700\" height=\"526\" srcset=\"https:\/\/when2work.com\/help\/mgr\/wp-content\/uploads\/sites\/2\/2023\/06\/ss-setupshiftreminders.png 700w, https:\/\/when2work.com\/help\/mgr\/wp-content\/uploads\/sites\/2\/2023\/06\/ss-setupshiftreminders-300x225.png 300w\" sizes=\"(max-width: 700px) 100vw, 700px\" \/><\/a><\/p>\n<hr \/>\n<h3><strong>Alternatives that can be used by those on the Standard Plan:<\/strong><\/h3>\n<p>Managers are able to manually send &#8220;<a href=\"https:\/\/when2work.com\/help\/mgr\/h-sub-auto-sched-week\/h-send-reminders\/\">schedule reminders&#8221;<\/a>\u00a0to any employee by going to <strong>EMPLOYEE<\/strong>&gt; <strong>Employees List<\/strong> and checking off the employees you&#8217;d like to remind (or using the &#8216;select all&#8217; box at the top of the column)\u00a0 and then clicking the &#8220;<strong>Schedule Reminder<\/strong>&#8221; link centered above that list.<\/p>\n<p>Or as an alternative, if you navigate to<strong>\u00a0<\/strong><a href=\"https:\/\/when2work.com\/help\/mgr\/h-sub-view-edit-sched\/h-shift-grid-bulk-edit\/\"><strong>SCHEDULES&gt; Grid View<\/strong><\/a>, you can isolate the shifts you need with the filters and by sorting by column. Check off some or all of the shifts and click &#8220;Send Reminder&#8221; or &#8220;Message&#8221; and you&#8217;ll be able to send a message to all of the employees working those shifts.\u00a0<\/p>\n<p>(Sending a schedule reminder will include a list of shifts, and Message will not.)<\/p>\n<p>EMPLOYEE CAN SET UP THEIR OWN SHIFT REMINDERS IN GOOGLE<\/p>\n<p>Please note that if employees are exporting their schedules from W2W to Google Calendars,\u00a0<strong>Google does offer an automated reminder system<\/strong> where they can schedule automatic shift reminders .\u00a0 Here is more information on how employees can export their schedules to Google Calendar: <a href=\"https:\/\/when2work.com\/help\/emp\/eh-google\/\">https:\/\/when2work.com\/help\/emp\/eh-google\/\u00a0<\/a><\/p>\n<p>&nbsp;<\/p>\n<p><span class=\"extrawords\">remind employees, shift notices minutes before, shift reminder feature that employees could use notify employees of the shifts they has say 24 hours prior to the scheduled shift\u00a0 shift notifications\u00a0 text message reminders sent automatically for shifts\u00a0 text message reminders sent automatically for shifts<\/span><\/p>\n","protected":false},"excerpt":{"rendered":"<p>Pro Plan users can set up the automatic shift reminder feature for each employee (or employees can set them up themselves).
