Two Ways to Create a New Schedule<\/h3>\n

Once you have\u00a0entered your first schedule<\/a>, it is easy to create new schedules using the\u00a0Import<\/a>\u00a0function. Import any previous week “as is” by choosing a date or Import a\u00a0saved template<\/a>\u00a0by choosing a template name.<\/p>\n

You can\u00a0Import<\/a>, clearing the assignments (and then use AutoFill<\/a>\u00a0to get the best assignments for the new week based on\u00a0helper time preferences<\/a>), or you can Import and leave the assignments the same.<\/p>\n

TIME PREFERENCES<\/strong><\/a><\/span> are used for automatically assigning based on when helpers are available and prefer to help:<\/p>\n

  1. Navigate<\/a>\u00a0to the new week\u00a0<\/li>\n
  2. Import<\/a>\u00a0the previous week’s schedule or saved template (clearing the assignments<\/strong>)\u00a0<\/li>\n
  3. AutoFill<\/a> to get the best assignments for that week based on helper time preferences, approved time off and any other constraints you have set<\/li>\n
  4. Publish<\/a>\u00a0the schedule to automatically email it to helpers and make it available to them online, and allow them to trade shifts if you have set that on your\u00a0SETTINGS<\/strong>>Helper Permissions<\/a>\u00a0page<\/li>\n<\/ol>\n

    CONSISTENT assignments

    OR if you prefer to create your schedules BASED ON KEEPING THE SAME ASSIGNMENTS EACH WEEK<\/strong><\/span>\u00a0you can do the following instead:<\/p>\n

    1. Navigate<\/a><\/strong>\u00a0to the new week<\/li>\n
    2. Import<\/a><\/strong>\u00a0the previous week’s schedule\u00a0leaving the assignments\u00a0<\/strong>(if an assignment conflicts with granted time off it will be set to unassigned) or you can\u00a0Import a saved Template<\/a>\u00a0which could contain all your basic shifts with some or all of the shifts assigned.<\/li>\n
    3. AutoFill<\/a><\/strong>\u00a0to assign any open shifts if needed, or you can always click a shift and see a list of who is available and you can choose an helper and click\u00a0Save<\/strong>\u00a0<\/li>\n
    4. (Optional) –\u00a0ANALYZE Shifts<\/a><\/strong> to see how the imported assignments compare to helper\u00a0time preferences<\/a>\u00a0and other constraints such as\u00a0maximum hours\/shift per day\/week<\/a>\u00a0and make any\u00a0adjustments to the shifts<\/a>\u00a0as needed.<\/li>\n
    5. Publish<\/a><\/strong>\u00a0the schedule to email it to helpers and make it available to them online and allow them to trade shifts if you have set that on your\u00a0SETTINGS<\/strong>>Helper Permissions<\/a> page<\/li>\n<\/ol>\n

      Note that for AutoFill to work properly, you will need to review the AutoFill Maximums on the\u00a0Helper List Grid<\/a>\u00a0and make any necessary changes in their max hours\/shifts per day\/week. The default is set to 40 hours and you will want to be sure your shift paid hours (durations) are correct and reflect any unpaid break times.<\/p>\n

      The\u00a0ANALYZE<\/a> function can be used on current or future weeks to check how the shift assignments compare to the current\u00a0time preferences, so you can use the second approach above of keeping the assignments intact and then use Analyze to check for any conflicts.\u00a0<\/p>\n
