Many WhenToHelp users schedule events. Here are some tips if you are scheduling helpers for events:<\/p>\n
You can\u00a0create\u00a0Categories<\/strong><\/a>\u00a0to help with adding shifts for events. Define a category with “default Add Shift Settings” (ex. you can enter the time, and the description information about the event location or client name, etc.) Then when you\u00a0add shifts<\/a>\u00a0for the event, you can choose that event Category first and those event defaults will be entered for you. Note that for helpers to see Categories, you will need to set Permission 2 on the\u00a0SETTINGS<\/strong>>Helper page to “Yes.”<\/p>\n<\/li>\n Or if you have repeating events at a certain location, you might want to\u00a0create separate Positions that include the location<\/a>\u00a0(ex. Server – Marriott, Setup – Marriott). This will allow you to\u00a0filter your view<\/a>\u00a0to only one Position Group – servers across all locations, servers in just one location, everyone in one location, etc.\u00a0<\/p>\n<\/li>\n Or you can use the\u00a0Shift Description<\/strong>\u00a0when\u00a0adding<\/a>\u00a0or\u00a0editing<\/a>\u00a0shifts to enter information about the events. Description display can be turned on and off using the “Change Layout<\/strong>”\u00a0link on most Schedule Views<\/p>\n<\/li>\n Or\u00a0create a Template<\/a>\u00a0and\u00a0Import<\/a>\u00a0sets of shifts for events. When you Import, you can set all shifts to have a shift description that explains the event, location details, etc.<\/p>\n<\/li>\n Or if you have a website you can upload documents there – create an information document, upload to your website and then add a link to it in the Schedule Notes at the bottom of the schedule week.
